We're currently seeking a Excavation Division Coordinator & Dispatcher for our Excavation Department.
This position will work out of our South Plainfield, NJ office.
responsibilities
Trucking – Dump Trucks, Low Boys & Roll off Trucks
- All Scheduled trucking work should be texted in the trucking group message the night before and hung on the board in the office. Included in text and paperwork should be the following...
- Start and end locations
- Start time
- Item/material they are transporting
- Each driver’s name
- Date
- Coordinate Equipment Moves for the next day, each low boy driver should have a minimum of 2 moves per day depending on locations, if an equipment move is oversize and requires a permit, the permit should be acquired using NJGOTPERMITS site and attached to the driver’s paperwork.
- Coordinate Dump truck work for the next day.
- Coordinate & check email requests on Dumpster moves for the next day.
- Coordinate every Friday in regards to fuel deliveries for the following week.
- Manage Dumpster email to ensure all requests are being handled in a timely matter.
- Overtime for trucking is not should not be permitted unless authorized.
- An email should be sent out EVERYDAY listing all scheduled trucking work for the next day.
- An email should be sent out EVERY FRIDAY to all dispatchers at Taylor Oil listing the fuel schedule for the upcoming week.
- Should be in constant contact with every driver throughout the day to inform them of any work changes, road closures, route changes etc.…
- Should constantly be monitoring the GPS system to ensure all drivers are operating at efficient as possible.
Administrative / Billing Work (Pertaining to Trucking) –
- Every morning you should review the drivers “Daily work log” for delays and to ensure the driver completed all work required.
- Every morning you should review the drivers “DVIR” if clean it should be filled according to the unit number, if there is something wrong with the truck it will be noted on the DVIR, you should coordinate with the truck shop to have the truck repaired.
- Every morning you should review the low boy driver’s daily work sheet, each machine that was moved should reflect the equipment location log. This log should be updated daily to ensure all equipment is being tracked properly.
- All pick up tickets/ receipts from dump truck drivers should be organized and sent to Greg W daily.
- Any Taylor Oil tickets should be sent to office daily.
- Any Day off requests or payroll issues should be submitted to office daily.
- Once the daily work log is reviewed you should take that information and enter it into the proper billing spreadsheet using all the proper coding. The billing sheets should be updated daily and completed/ submitted to office on a quarterly basis. Each billing sheet should be reviewed with Div Mgr. to ensure accuracy in rates and job numbers.
- Keep track of tipping fees at each dump location for container service, dumping locations are as follows…
- Middlesex County Sites – MCUA (other dumps are allowed but should be approved by Div Mgr.)
- Somerset County Sites – B.R.I or Solterra (Depending on location, funds & time)
- Monmouth County Sites – Marpal
- Ocean County Sites & further sites – O.C.L
- Mercer County – Mercer Group Landfill
Shop –
- Monitor and answer break down line (908)756-1211
- Once a breakdown is called in fill the form out with all information, notify shop immediately, send an email with the form attached.
- If needed assist Shop Mgr. in dispatching the mechanic to the breakdown location
- Enter break down into the breakdown log and keep updated (see example)
- Coordinate & assist Div Mgr. with any needed help or tasks pertaining to the shop.
Snow Operations –
- Main point of contact for any supplies, snow removal or salt needed throughout all “contracted” sites. This position is required to be heavily involved and on site through the duration of every storm.
- Assist Div Mgr. in coordinating all plow truck drivers and creating schedules
